Updated iPay Screen

Some changes you’ve noticed to your employee’s iPay screen..

The new iPay interface has been launched to standard Temps Plus updates…

These new routines will:
A) convert iPay files so card number is no longer stored in database,
B) accept either Card Number or Account Number when issuing cards (Account Number is always saved to the database.)
C) allow cross program funding, that is, will fund Star cards from a Visa funding account IF the Visa funding account number is provided in Setup.
D) similarly to C, will transfer funds from a Star card to a Visa card when an employee’s Star card is switched to Visa. The Visa funding account will be used for both sides of the transfer so no impact on funding balance.
E) support NACHA funding of Star and/or Visa cards (must have EFTS configured for use with specified database).
F) support statements for active card and previously closed cards (for example, get a statement for the new Visa and the previous Star card. To use it… just enter “C” when prompted for statement cutoff date.)
G) support “Remove” card so that for whatever reason a card can no longer be managed in iPay, it can be removed from the employee record so that a new card may be assigned.
H) I-Pay Admin program now retrieves employees via standard applicant/employee browsing rather than by Card Number.

Enhanced Report Viewing

Bridgeware Staffing Software - Report ViewerYour Temps Plus Enhanced Report Viewing has been updated to keep your Record Selection Criteria in front of you while previewing your report. If you want to modify your reporting criteria, simply make your changes, then click on View Report (F5).

This feature is available via software updates in version 4.1.171.

Also notice another update here, that is not only in the enhanced report viewing but anywhere within Temps Plus with a Date Field. Now a calendar view will pop up once you click on the ‘+ button’.

Emailing Employee Photos

This “Did You Know” video shows emailing employee photos to a customer they are actively assigned to.  For more of the fine details continue reading below…

A couple more items on emailing employee photos to clients…

The email subject is simply “Employee Photo”.  The message text consists of just the employee name and the image file.  The image attached is the full sized bmp file (we scale it to half size when displaying it on the forms).  The Temps Plus company code and Applicant ID  information is integrated in the file name.  Characters to the left of the tilde (DMO~1.bmp) indicate the Temps Plus company code while the numbers to the right (DMO~1.bmp) are the Applicant ID.

The mailbox used to send the photo is the global mailbox for emailing timecards in Company Setup.  If this has not been setup then the photo won’t be mailed.  No MAPI or personal mailboxes are allowed for security purposes.  If the mailbox has a signature file specified then the signature will be included in the email.

You can’t just put any email address in the pop-up either.  The idea is that the client needs the photo either for security verification and/or company photo ID’s.  So the email address must be that of a Client where the Employee is on Active Assignment.  The system checks several places for valid email addresses:

On the order the employee is assigned to (it gets addresses from both the invoices tab and the email timecard spreadsheets tab), the email address on the main customer record and the email addresses of any contacts for that customer.

It gets this information for all active placements the employee is on and orders the data from the most recent placement on down.  It picks as the default, the first valid email address it encounters, check the fields in the following order: Orders.EmailAddress, Orders.EmailTimeTo, Customers.EmailAddress, CustomerContacts.EmailAddress).

The user can enter any email address as long as the program can find it in the fields described above.

We dont give the user the opportunity to edit the email but we do give a confirmation if the photo was sent to a valid email address.

To ALL Bridgeware Clients:

As we all get ready to close out 2011 and begin 2012 there are changes that must occur within your software.

As you may or may not already know, the SSA Magnetic Media Reporting has changed this year.  You can download the latest program at your convenience on our FTP Site, or contact Bridgeware Technical Support for help on this.

To obtain the latest Accuwage software which has also changed, you can follow the download and installation instructions here… http://www.socialsecurity.gov/employer/accuwage/installation.html

As always, the Federal Math Packets can be downloaded from the FTP Site as well. The file is called Fed2012.tpm and can be downloaded at any time. Do NOT install them until after you clear your YTD Check Totals for 2011 and before you process your first payroll for 2012.  If you need further help installing them to your database, please contact Bridgeware Technical Support.

If anyone has been notified of any changes to your States Tax Packages please forward them to support@bridgeware.net so we can get them updated for you.

*** Reminder ***  There will be no Earned Income Credit for 2012. You will want to go into company setup and disable your deduction flags on the Automatic setting from “Y” to “N”. This will ensure that any employees who have EIC deductions on their employee record will no longer be getting EIC in their paycheck.
